10 features a pharmacy management system should have

15 October 2026 · 2 min read

A pharmacy is not like other shops. Medicines come in batches with expiry dates, are sold by the strip or by the piece, and mistakes matter. General billing software rarely handles this well. Here are ten features a good pharmacy management system should have.

  1. Batch tracking. Every purchase is stored as a batch with its own quantity, price and expiry date.
  2. Expiry alerts. See what expires soon so you can sell it first or return it to the supplier.
  3. First-expiry-first-out selling. The system should pick the batch that expires earliest, so old stock does not get stuck at the back.
  4. Sell by strip or by piece. Prices and stock must work for a whole pack and for loose pieces.
  5. Fast point of sale. A cashier should find a medicine and finish a bill in seconds, even on a busy counter.
  6. Returns that stay accurate. Customer returns should update stock and money correctly, including any discount on the original bill.
  7. Customer dues. Track who owes what, and record payments simply.
  8. Alternatives for out-of-stock items. When a medicine is unavailable, suggest alternatives with the same generic name that you do have.
  9. Day-end reports. Sales, cash count and low-stock lists, ready at closing time.
  10. Roles and access. Owners see everything; salespeople see only what they need.

Nice extras

  • A daily summary for the owner, written in plain language.
  • A reorder list generated from low stock.
  • Photos on products so staff pick the right item.

Questions to ask before you choose

  • Does it track expiry at batch level, or only per product?
  • Can staff use it on a phone or tablet as well as a PC?
  • Who looks after backups and updates?
  • Can you export your data if you leave?

We built exactly this kind of system for a busy counter: see the Sheba Pharmacy project. If you want one made around your shop, see our custom software service.
